Role OverviewWe are seeking a detail-oriented Operations Administrator to support our company-wide operational processes while working US East Coast business hours (9am-5pm EST/EDT). This role is perfect for someone who thrives in an administrative support capacity, enjoys working behind the scenes to ensure smooth operations, and is comfortable with a non-traditional work schedule.
You'll be responsible for providing crucial administrative support across multiple departments. Your primary focus will include managing our applicant tracking system (Ashby), coordinating interviews across time zones, administering system access for team members, and handling internal scheduling and operational coordination.
Key ResponsibilitiesSystem Access ManagementManage the onboarding and offboarding process for all system access
Create, modify, and deactivate user accounts across company platforms
Maintain accurate documentation of all system access and permissions
Serve as the primary point of contact for access-related issues
Manage executive team calendars
Schedule and coordinate internal meetings across different time zones
Maintain company-wide operational calendar
Assist with planning and logistics for team events and activities
Take and distribute meeting notes when required
Manage our applicant tracking system (Ashby) to ensure all candidate information is accurately recorded and updated
Schedule and coordinate interviews between candidates and hiring managers across different time zones
Send interview reminders to both candidates and interviewers
Collect interview feedback from hiring managers
Process new hire documentation and assist with onboarding preparation
Maintain employee records and documentation
Support various departments with administrative tasks
Maintain calendars and send reminders for important deadlines
Assist with ad-hoc projects and operational tasks
Experience in an administrative or HR support role
Ability to work US business hours (9am-5pm EST)
Excellent organizational and multitasking abilities
Strong attention to detail and accuracy in documentation
Experience with applicant tracking systems or HR information systems
Professional written and verbal communication skills in English
Self-motivated with the ability to work independently
Experience with Ashby or similar ATS platforms
Previous work with international or remote teams
Experience coordinating executive schedules
Knowledge of recruitment processes and best practices
Experience working in the gaming or technology industry
