Part-Time Office Manager
Location:Remote (must reside in the Denver Metro area) — occasional in-person presence required at our Colorado office or event locations.
Compensation:This is a part-time position at 16 hours per week. Annualized Full-Time Equivalent (FTE) salary is $50,710, which equates to approximately $19.47/hour for this part-time role.
Position Summary
The Office Manager will play a critical role in keeping our operations running smoothly. Reporting directly to the Vice President of Finance and supporting the CEO, this person will serve as a key administrative hub for the organization. From bank reconciliations and onboarding to preparing for board and staff meetings, you’ll bring your organizational magic to a wide range of responsibilities that help the team focus on our mission.
Key Responsibilities
- Financial & Operational Support
- Perform monthly bank reconciliations in coordination with the VP of Finance.
- Maintain accurate documentation and assist with filing and tracking financial records.
- Administrative Management
- Serve as the primary point of contact for internal and external office communications.
- Manage office logistics, including inventory, technology set-up, and supplies for remote and in-office needs.
- Serve as the point of contact for our project management system, teamwork.com, and coordinate with coaches, area directors, and vice presidents to ensure projects are accurate with estimated time.
- Serve as the primary contact for vacations and holidays, ensuring that both are on the shared calendar
- HR & Hiring
- Support the hiring process by posting job descriptions and assisting with applicant tracking and interview scheduling.
- Facilitate employee onboarding by setting up computers/accounts and orienting new hires to internal systems.
- Board Support
- Act as secretary for board meetings, taking and distributing meeting minutes using automated electronic means.
- Coordinate board meeting logistics including scheduling, agenda prep, material preparation and distribution and attendance.
- Leadership Support
- Relieve the CEO and VP of Finance of select administrative and coordination duties.
- Monitor and manage shared calendars, communications, and workflows as needed.
Qualifications
- Required:
- Located in the Denver Metro area with ability to occasionally work in-person.
- Prior experience in office or nonprofit administration, bookkeeping, or operations.
- Strong written and verbal communication skills.
- Highly organized with strong attention to detail.
- Proficiency in Google Workspace (Docs, Sheets, Calendar, Drive).
- Ability to work independently and manage multiple tasks with minimal supervision.
- Preferred:
- Familiarity with nonprofit operations and/or board governance.
- Experience using accounting or CRM software (e.g., QuickBooks, Salesforce, or similar).
- Background in remote work environments.
- Work Environment & Schedule
- This is a part-time, non-exempt role averaging 16 hours per week, with a flexible daily schedule (e.g., 3–4 hours/day across the workweek).
- Work is primarily remote but with occasional in-person meetings or tasks in our Colorado office or at event or school locations.
- Some evening availability may be requested for board meeting support.
