About the Role

Support the Sales Rep or Business Developer in winning and closing work by handling administrative, follow-up, and proposal tasks with speed, accuracy, and professionalism— freeing the rep to focus on selling and relationship-building.

Key Responsibilities

    Proposal & Communication Support
  • Draft and send proposals using our AI-assisted templates and company software
  • Write and send follow-up emails for smaller or standardized jobs
  • Edit and attach video walkthroughs and relevant photos to proposals
  • Use AI tools to map properties and pre-build proposal frameworks for rep review
    Scheduling & Client Interaction
  • Book and confirm sales appointments, including lunch meetings and site walks
  • Coordinate and manage the rep’s calendar to avoid conflicts and prioritize key client needs
  • Send reminders and confirmations for all appointments and calls
  • Make occasional outbound calls for scheduling, permit follow-up, or client coordination
    Sales & Reporting Tasks
  • Prepare weekly and monthly sales reports using data from our CRM and estimating software
  • Create sales presentations or client decks based on rep’s direction
  • Track proposal acceptances and pipeline progress across stages
  • Maintain a digital dashboard or status board for sales performance
    Pre-Construction Support
  • Call municipalities or clients to obtain permits or required documentation
  • Gather all required info and documents to ensure a smooth pre-construction handoff
  • Work with internal ops/admin teams to close the loop once a job is sold
    Technology & File Management
  • Use company software and cloud tools to track and organize proposals and job files
  • Maintain clear digital folders for each client/job with proposals, photos, and communication logs
  • Regularly update Monday.com, LMN, and other platforms with notes, status, and follow-ups
    Required Skills & Experience
  • Strong computer and organizational skills
  • Confident using AI tools (property mapping, email writing, proposal generation)
  • Clear written and verbal communication in English
  • Reliable, fast-paced, and self-directed with remote work
  • Comfortable making outbound calls and talking with clients or agencies
    Preferred Experience
  • Familiarity with construction, landscaping, or service-based businesses
  • Previous experience supporting a Sales Rep, Business Developer, or Account Manager
  • Experience with LMN, Monday.com, QuickBooks Online, or similar platforms
    Success in This Role Looks Like:
  • Proposals turned around in under 24 hours
  • Sales calendars run smoothly and efficiently (no double-bookings)
  • Reps spend most of their time selling and building client relationships—not doing admin
  • Clear and timely reports keep the sales team focused and informed
  • Pre-construction handoffs happen with no surprises
