Primary Duties and Responsibilities
- Payroll Administration:
- Process semi-monthly payroll for approximately 55 US-based employees across multiple states, ensuring accurate and timely submission.
- Maintain payroll records and ensure compliance with federal, state, and local laws.
- Manage the process with support from Finance and Legal to add new states and locales to our payroll system.
- Address and resolve payroll-related inquiries and discrepancies.
- Benefits and Leave Administration:
- Administer US employee benefits suite of programs including health, dental, vision, FSA, retirement plans, and ancillary programs.
- Lead the annual open enrollment process and qualifying life event changes.
- Coordinate with third-party administrators to process enrollments, terminations, and benefit changes in a timely manner.
- Research, evaluate, and recommend to People & Culture leadership new or enhanced benefit offerings to support the evolving needs and well-being of our workforce.
- Maintain and distribute the annual Employee Benefits Summary booklet.
- Create and distribute annual Total Compensation Statements.
- Oversee and administer leave requests, including family and medical leave, sabbaticals, bereavement, disability and accommodations.
- Create and maintain a tracking system for global leaves.
- Compliance and Reporting:
- Ensure compliance with applicable federal and state payroll, benefits, and leave regulations.
- Prepare and submit required reports to government agencies.
- Stay up to date with changes in tax laws and regulations affecting payroll and benefits.
- Lead the annual workers compensation audit.
- Employee Experience and Support:
- Serve as a primary point of contact for employee payroll, benefits, and leave-related questions.
- Participate in all new hire onboardings to provide education on payroll and benefits.
Secondary Responsibilities
- EOR Administrative Support:
- Provide administrative support to the People & Culture Lead for international HR management through our Employer-of-Record (Remote) platform.
- Minimum Qualifications (education, experience, skills)
- Minimum of 3-5 years of experience with U.S. payroll administration.
- Minimum of 3-5 years of experience with benefits and/or total rewards administration.
- Strong knowledge of multi-state payroll, benefits, and leave laws and best practices.
- Experience partnering with brokers, TPAs, and insurance carriers.
- Strong proficiency with payroll software.
- Strong proficiency in Microsoft Office Suite, particularly Excel.
- Proven ability to maintain the highest standards of confidentiality, discretion, and professionalism in all aspects of the work.
- Exceptional attention to detail and accuracy
- Strong organizational and time management skills.
- Self-motivated, proactive, and able to work autonomously with minimal supervision.
- Demonstrated ability to thrive in a fast-paced, deadline-driven, fully remote environment.
- Excellent written and verbal communication skills.
- Preferred Qualifications
- Experience with BambooHR and/or ADP.
- Experience with SharePoint.
- Experience working within a global, distributed team environment.
- Experience working remotely.

- Employment Package
- Full Time Position, 40 Hours a Week
- Location: Virtual/Remote
- Annual Salary Range: $65,000 - $80,000
- Required Travel: Less than 5%
- To be filled as soon as possible (start date to be agreed between both parties).
- Our offers for salary and benefits are dependent on the region of the final candidate. We post most positions based on a US-based Team member, but final offers are made in alignment with the final candidate's permanent residence and in line with Textile Exchange's regional employment package.
