About the Role:
A highly respected Am Law 100 organization, is seeking a Conflicts Analyst II to join its Governance department. This is a great opportunity for someone with experience in law firm conflicts, new matter intake, or records management who is looking to expand their responsibilities in a collaborative, fast-paced legal environment.
- Key Responsibilities:
- Act as a primary resource for the firm’s risk management efforts, providing in-depth knowledge on topics such as conflict clearance, new matter vetting, confidentiality screens, document retention, compliance with client requirements, and audit processes.
- Review incoming requests related to new business, client intake, prospective employees, and practice opportunities; perform thorough assessments of potential conflicts of interest.
- Prepare detailed reports on conflict findings; proactively flag and discuss potential concerns with attorneys and appropriate business staff, collaborating to resolve any issues.
- Manage the maintenance and documentation of new and ongoing matters in legal operations systems, ensuring all data is comprehensive and up to date.
- Guide new business flow through the intake pipeline, completing requisite forms and supporting documents, and aiding in the administrative review of prospective work.
- Draft and assess engagement agreements, determine when information barriers are necessary, and facilitate implementation within the firm’s systems.
- Create and update access restrictions in legal billing/document management platforms; draft and circulate notices about confidentiality protocols across the firm.
- Continuously oversee the functioning of confidentiality structures by updating participant lists and making changes, such as removing or adding individuals as needed.
- Handle client and internal requests for file access, transfers, or other document management actions to maintain compliance with records policies.
- Coordinate the full lifecycle for client engagement guidelines and audit letter responses, which includes preparing reply drafts, tracking deadlines, and working with attorneys on approvals.
- Offer policy guidance to legal professionals and staff on firm standards for new clients, records handling, and risk protocols.
- Aggregate, interpret, and present operational and compliance data to management, auditors, or other stakeholders as needed.
- Contribute to firm-wide initiatives that support regulatory, risk, and compliance goals and execute additional assignments as necessary.
- Technologies & Tools:
- Required: Demonstrated experience using legal compliance and intake workflows (e.g., Intapp, 3E, comparable systems).
- Preferred: Exposure to file management, data transfer tools, or other legal-industry software (e.g., FileTrail, Kiteworks, Varonis).
- Desired: Skilled in MS Word, Excel, PowerPoint; experience with collaborative office platforms such as Teams, SharePoint, and OneDrive.
- Requirements:
- High School Diploma or equivalent required; bachelor's degree strongly preferred.
- 3+ years in a legal operations, risk, or conflicts role within a law firm or similar professional services environment.
- Proven attention to detail with a track record of careful analysis and sound professional judgment.
- Ability to clearly convey information both verbally and in writing, and to interact effectively with personnel at all levels.
- Demonstrated organizational skills; capable of prioritizing and handling multiple tasks efficiently in a dynamic work environment.
