Are you organized, responsive, and ready to be the bridge between clients, providers, and internal teams? MCMC is seeking a Client Coordinator who thrives in a fast-paced, service-oriented environment and takes pride in accuracy, communication, and professionalism.

As a Client Coordinator, you’ll be the go-to contact for client inquiries, ensuring information is gathered, entered, and delivered with precision and care. You’ll play a vital role in keeping our workflows running smoothly, and our clients well-supported.

Location: Fully Remote | Schedule: Tuesday through Saturday from 8:00am to 4:30pm EST

ESSENTIAL JOB FUNCTIONS

  • Respond promptly and professionally to inquiries from clients, physicians, nurses, and authorized representatives regarding report status, case details, or general information.

  • Utilize internal systems and databases to input and retrieve client or claimant information accurately.

  • Maintain daily communication with the Quality Assurance department to track workflow and pending report status.

  • Contact providers for case assignments and update systems accordingly.

  • File and archive documentation for open and closed cases in accordance with company procedures.

  • Verify that client information is up to date and that all client-specific guidelines are accurately recorded in the system.

  • Work independently and in collaboration with other departments to ensure client questions are addressed and cases are completed in a timely manner.

  • Redirect calls to the appropriate department or personnel as needed.

  • Perform administrative and clerical duties including typing, filing, emailing, and proofreading.

  • Assist in the resolution of customer complaints and quality assurance concerns.

  • Notify management of any issues affecting case completion or report quality.

  • Ensure all practices align with HIPAA guidelines, state regulations, and company policies.

  • Perform other duties as assigned.

Qualifications

MINIMUM REQUIRED QUALIFICATIONS

Education and/or Experience

  • Education: High school diploma or equivalent required.
  • Industry Knowledge: At least one year of clerical or administrative experience preferred.

  • Experience in a medical office or the insurance industry (workers’ compensation, disability, no-fault, liability) is a plus.

Candidates with pharmacy experience are strongly preferred.

ESSENTIAL COMPETENCIES

QUALIFICATIONS

  • Proficient in Microsoft Word, Outlook, Excel, and general office software.

  • Knowledge of standard office equipment (computer, fax, copier, scanner, telephone).

  • Strong typing skills (40+ WPM preferred).

  • Familiarity with HIPAA compliance and medical documentation practices.

  • Exceptional communication skills—verbal and written.

  • High attention to detail with a commitment to quality and accuracy.

  • Ability to multitask, manage priorities, and work independently.

  • Positive, team-oriented attitude with a professional and courteous demeanor.

  • Ability to remain focused and productive under pressure or distractions.

  • Flexibility to adapt to change, delays, or unexpected challenges.

LANGUAGE /COMMUNICATION SKILLS

  • Ability to read and interpret clinical records, legal documents, and medical statements.
  • Skilled in drafting clear, informative written responses and editing for clarity.
  • Comfortable presenting information in one-on-one or small group settings when needed.

WORK ENVIRONMENT

  • Fully remote position with regular computer and phone use.
  • Weekend or extended work hours may occasionally be required.
  • Must be able to work effectively in a virtual team setting.
