Summary Overview

This is a critical part-time subcontracting position for a highly organized, emotionally intelligent, and adaptable Executive Assistant to provide comprehensive support to the CEO and contribute to strategic K-12 educational marketing initiatives. The ideal candidate will possess professional tact, demonstrate flexibility to respond to meetings and inquiries throughout the business workday, and show a genuine commitment to long-term growth with our organization (20-40 hours per month).

The successful candidate will serve on the company's leadership team, providing considerable input on K-12 strategic thinking around educational marketing.     Key Responsibilities and DutiesEXECUTIVE SUPPORT (50%) CEO & Ownership Support
  • Manage complex calendars for CEO and Owners, prioritizing meetings and optimizing time allocation
  • Coordinate domestic and international travel arrangements, including detailed itineraries
  • Prepare executive-level correspondence, presentations, and reports with meticulous attention to accuracy
  • Handle confidential information (payroll, intellectual property, cyber security) with absolute discretion
  • Act as primary liaison between executive leadership and internal/external stakeholders
  • Organize and facilitate board meetings, including agenda preparation and minute-taking
  • Filter and prioritize emails, ensuring all communications are thoroughly reviewed before distribution
    Strategic Administrative Functions
  • Screen and prioritize incoming communications, responding on behalf of executives when appropriate
  • Conduct research and compile data for strategic decision-making
  • Manage special projects as assigned by CEO and Owners
  • Coordinate executive-level events, meetings, and conferences (both in-person and virtual)
  • Track and follow up on action items from leadership meetings

  • Marketplace Award Management: Create marketing materials explaining our "marketplace vendor" status and how districts can quickly engage our pre-approved services
  • Rapid Response Marketing: Develop templates and systems to mobilize marketing efforts when districts activate marketplace contracts
  • Client Communication: Maintain regular touchpoints with existing clients about new services, especially during budget cycles and planning periods

K-12 Decision-Maker Targeting

    District-Level Outreach: Create targeted campaigns for key budget holders:
  • Superintendents and Assistant Superintendents (CEO-level messaging)
  • Directors of Professional Development (PD program offerings)
  • Directors of Career & College Readiness (career prep initiatives)
  • Directors of Family & Community Engagement (family programs)
  • Chief Equity Officers (equity-focused solutions)
  • School Business Managers (ROI and budget efficiency)
    School-Level Engagement: Develop materials for:
  • Principals and Assistant Principals (site-based budget solutions)
  • Instructional Coaches (professional development resources)
  • School Counselors (student support programs)
  • Student Services Coordinators (transition and readiness programs)

Strategic Marketing Functions

Budget Cycle Marketing: Time campaigns to align with district budget planning (typically February-April)

    Content Development:
  • Create case studies from Houston ISD, Lamar ISD, and PA Housing wins
  • Develop marketing materials for oral presentations, demonstrations, and sample work products to convert marketplace awards into active contracts
  • Target Organizations: Pennsylvania Housing Finance Agency (PHFA), Houston ISD Family & Community Engagement, Houston ISD College/Career/Military Readiness, Utah University Marriage Commission, Lamar CISD, State Departments of Education, School Districts, and Schools
  • Core Topics Portfolio: Family and Community Engagement Frameworks, AI Literacy, AI Policy and Ethics for School Districts, Principal and Counselor Teams Training, Dignity Leadership Training (educators and teens), Family Advocacy Training for Parents and Caretakers, College/Career and Workforce Training for Teens, eLearning Services and Instructional Design
  • Design demonstration materials that showcase our expertise without requiring full contract activation
  • LinkedIn Strategy: Target specific job titles and districts with sponsored content
  • Email Campaigns: Segment lists by role (superintendent vs. director vs. principal) with role-specific messaging
  • Conference & Event Marketing: Identify where target decision-makers gather; prepare booth materials highlighting marketplace flexibility
  • Proposal Support: Draft conference proposals positioning our marketplace model as procurement innovation
  • Grant Opportunity Alerts: Monitor and communicate relevant grant opportunities to past clients
  • Social Proof Development: Collect and showcase testimonials from successful implementations
  • Marketplace Activation Support: Create compelling presentations and demos that move pre-approved vendor status to active engagement
    ORGANIZATIONAL SUPPORT (10%)Cross-Functional Assistance
  • Serve as backup support for other departments during peak periods
  • Facilitate internal communications and information flow
  • Assist with company-wide initiatives and special projects
  • Support updating standard operating procedures (SOPs) and archive organizational information
  • Onboard new hires, collect necessary paperwork and legal documents (NDAs)
  • Manage document renewals and compliance for subcontractors

    Qualifications and Skills Required:
  • BA/BS Degree required
  • 5-10 years of relevant executive support experience or retired professional with relevant experience
  • Exceptional emotional intelligence and professional tact
  • Proven flexibility to respond throughout the business workday
  • Meticulous attention to detail and high level of accuracy
  • Strong written and verbal communication skills
  • Proficient in office suite software (Microsoft Office, Google Workspace)
  • Experience with AI tools (Gemini, ChatGPT, NotebookLM)
  • Proven ability to navigate large organizations
  • Strong problem-solving skills and ability to anticipate needs • Self-motivated with ability to work independently with minimal supervision
