National Operations Specialist

Travel: This position will require 80+ % travel based on the needs of the assigned portfolio. Relocation is not required, but candidates must be based near a major airport (i.e. Atlanta, Charlotte, Dallas, Chicago).
Position Overview:
The Operations Specialist supports daily operations and team training across Student Quarters' portfolio, aligning with company policies and operational standards. This role serves as a strategic troubleshooter and may step in as interim leadership at communities with extended vacancies or operational needs. Weekly assignments are provided, and travel requirements vary depending on the needs of the portfolio. The role also includes assisting with Month Close procedures and ensuring compliance with SQ platforms such as EliseAI, Leap, and other systems used to enhance operational efficiencies
Roles and Responsibilities:
- Leadership & Development
- Fulfill the responsibilities of the General Manager role when vacant at assigned communities.
- Support and oversee on-site SQuads to ensure smooth daily operations across the properties.
- Assist with interviewing, hiring, onboarding, and training SQuads on company policies, systems, and resident experience standards.
- Lead team meetings and performance check-ins in the absence of the General Manager.
- Provide coaching, performance feedback, and support on employee relations matters.
- Lead training sessions for new hires and assist in onboarding teams at newly acquired or developed properties.
- Represent Student Quarters' culture and values, serving as a positive example at each community.
- Leasing & Marketing
- Support leasing and marketing strategies to drive occupancy and retention, tailored to the unique dynamics of each community.
- Maintain a strong understanding of market conditions, submarket performance, and competitor offerings to inform leasing strategies.
- Ensure all brand and property standards are met, focusing on delivering high-quality experiences for residents.
- Oversee the preparation and execution of property marketing campaigns, ensuring alignment with the brand’s objectives and occupancy goals.
- Financial Performance
- Assist with financial reporting, including budgets, variance reports, and community performance metrics.
- Monitor and manage rent collections, initiate late notices, and coordinate legal actions when necessary.
- Process rental payments and vendor invoices, ensuring compliance and accuracy.
- Assist with Month Close procedures to ensure all operational and financial reports are accurately completed and submitted on time.
- Ensure all financial activities are carried out with the highest standards of accuracy and in alignment with company policies.
- Maintenance & Facilities
- Handle resident emergencies and maintenance escalations with professionalism, documenting all incidents according to company protocols.
- Ensure model homes, amenities, and common areas meet Student Quarters' brand standards at all times.
- Complete inspections, move-in/move-out procedures, home readiness checks, and community walkthroughs as needed.
- Support the maintenance team in completing tasks in a timely manner to ensure properties remain in excellent condition.
- Oversee and ensure timely completion of work orders and preventative maintenance initiatives.
- Customer Care & Resident Retention
- Address resident concerns professionally and ensure timely, effective resolutions to foster positive relationships.
- Support assigned communities in achieving key performance metrics, including occupancy, collections, and resident satisfaction.
- Maintain a high level of service and ensure customer satisfaction by addressing resident inquiries promptly and professionally.
- Ensure that all resident interactions align with the company's commitment to creating a positive living experience.
- General Administration & Audit Compliance
- Assist with special projects as assigned by senior leadership.
- Approve and enter payroll as requested by the Regional Manager.
- Complete regular audits of property operations, ensuring compliance with Student Quarters' standards and policies.
- Monitor and ensure all operational reports are accurate and submitted on time.
- Ensure compliance with SQ platforms such as EliseAI, Leap, and other utilized systems, ensuring operational efficiencies are maximized across all properties.
- Ensure all compliance and regulatory requirements are met, and assist in maintaining up-to-date records.
- Perform other duties as assigned by management and assist with administrative tasks as necessary.
Job Requirements:
- Skills, Experiences, & Qualities
- A minimum of two years of property management experience preferred.
- Strong knowledge of leasing, marketing, maintenance, and financial operations in property management.
- Excellent leadership, communication, and interpersonal skills.
- Ability to analyze financial reports, develop budgets, and identify cost-saving opportunities.
- Strong problem-solving skills and ability to manage multiple tasks efficiently.
- Ability to perform physical tasks such as bending, lifting, and carrying up to 50 pounds during property inspections or move-in/move-out support.
- Physical Demands
- Must be able to lift and move objects up to 50 pounds.
- Must be able to perform physical tasks such as bending, lifting, and climbing stairs during property inspections and support activities.
- Regularly required to walk, reach with hands and arms, and stoop or squat.
- Job Qualifications
- Must be able to pass a background check.
- Must have experience in managing teams and overseeing property operations.
- Required to possess excellent verbal and written communication skills.
- Must be able to work weekends and overtime hours as needed.
- Valid driver’s license and reliable transportation are required for travel.
